Common App Homeschool Transcript Upload: Step-by-Step Guide

The Common App Homeschool Pathway

The Common Application has a built-in process for homeschool applicants. It's not a workaround or an exception — it's a supported pathway that thousands of homeschool families use every application cycle.

The core difference: the parent or homeschool administrator fills two roles. You're listed as both the school counselor and the school official responsible for transcript submission. The application recognizes this arrangement and processes it the same way it handles any other school counselor submission.

Setting Up the Counselor Account

The parent or homeschool administrator creates a counselor account on the Common App. During setup:

  • School type: select "Homeschool"
  • School name: enter the formal name of your homeschool program (the same name on your student's transcript and diploma)
  • CEEB code: if the portal requests one, follow its homeschool-specific instructions rather than assuming a code applies across admissions and testing platforms
  • Counselor name: the parent or administrator's name

Once the student's Common App account is linked to your counselor account, you can upload documents and submit the school report.

What to Upload

The Common App accepts PDF uploads for homeschool transcripts. Submit:

The academic transcript. A complete transcript listing all courses, grades, credits, and cumulative GPA, signed and dated. Format it as a single PDF — admissions officers process hundreds of documents per day, and a clean single-file upload moves through the system faster than multiple attachments.

A grading scale key. Either embedded in the transcript (at the bottom of the first page or on a legend page) or as the second page of the same PDF. The reader needs the letter-to-percentage mapping and the credit-hour definition to evaluate the GPA.

Course descriptions (when requested). Selective institutions often ask homeschool applicants for course descriptions — 150 to 300 words per course covering objectives, materials, assessment methods, and total hours. Not every school requires these, but having them ready prevents delays. Upload as a separate PDF if the school asks.

The school report. The Common App's school report form asks for enrollment information, the school's grading system, and your assessment of the student. As the homeschool counselor, you complete this form — it provides context that the transcript alone doesn't cover.

The Coalition Application

The Coalition Application (used by about 150 member schools) follows a similar structure. The parent registers as the school counselor, and the transcript is uploaded through the counselor portal.

Key differences from the Common App:

  • The Coalition App uses a "Locker" system where students can store documents throughout high school and attach them to applications
  • Some Coalition schools have their own supplemental document requirements for homeschool applicants
  • The counselor recommendation is submitted through the same portal

Check each Coalition school's individual requirements — some want the transcript uploaded through the portal, while others accept it via email to the admissions office.

Document Format Requirements

PDF format. Both platforms accept PDF uploads. Don't submit Word documents, Google Docs links, or image files. Convert everything to PDF before uploading.

File size. Keep each upload within the limit displayed by the application portal. If you're including course descriptions with embedded images and the portal rejects the file, compress it.

Readable naming. Name the file clearly: "LastName_Transcript_2026.pdf" or "LastName_CourseDescriptions.pdf." Admissions staff download and organize these files — clear naming helps.

Self-Reporting Considerations

Some universities now accept self-reported coursework in lieu of an official transcript for initial review, with the official document required only after admission. Check each school's policy — you may be able to enter course information directly into the application form and upload the formal transcript later.

Even for schools that accept self-reporting, prepare the full transcript document. An offer of admission is typically conditional on the official transcript matching the self-reported information. Having the document finalized before application season prevents a scramble in the spring.

Timing

Submit early. The counselor portion of the application — including the transcript upload — is a separate submission from the student's application. Both must be complete for the application to be processed.

Upload the transcript at least a week before the application deadline. Portal processing times vary, and a technical issue on deadline day can delay the entire application.
