Maryland Homeschool 8 Subjects: Work Samples, Binder Organization, and Fillable PDFs

Every Maryland homeschool parent has the same realization at some point during their first semester: documenting English and Math is easy. Documenting Art, Music, Health, and PE is genuinely hard — not because you aren't teaching those subjects, but because there's no obvious paper trail.

COMAR 13A.10.01 requires instruction in all eight mandatory subjects. It does not tell you how to document them. This post covers exactly what work samples to collect for each subject, how to organize your binder so a county reviewer can navigate it quickly, and why a fillable PDF portfolio is the most practical format for most Maryland families today.

The Eight Mandatory Subjects and What "Documentation" Means for Each

Maryland's eight required subjects aren't equally easy to document. Here's what actually works for each one.

1. English (Language Arts)

English generates the most natural documentation. Reading logs with book titles and dates, writing samples showing the progression from shorter to longer work, spelling test results, grammar worksheets, or printed pages from an online English program all count.

Select 3 to 5 samples per semester. The most effective combination is usually: one early reading log entry + one early writing sample + one mid-semester piece + one end-of-semester piece showing clear development. Even if your child's writing didn't improve dramatically, you want the portfolio to show that instruction was ongoing throughout the semester, not concentrated in one week.

2. Mathematics

Math documentation is typically the easiest. Completed workbook pages, printed worksheets from Khan Academy or similar programs, test or quiz results, or a log of math activities with dates all serve the purpose.

Prince George's County's official guidelines for online curriculum users ask for a skill report showing the date, skill name, time spent, and grade. If you use a digital math program, export or screenshot these reports before your subscription resets.

3. Science

Science documentation can be one of two types: structured (completed workbook pages, a science program's lesson summaries) or project-based (a dated lab notebook entry, a photograph of a science experiment with a written description). Unit studies work well here — a series of photos from a nature study project with dates, or a brief narration of what was observed, serves as strong evidence of ongoing instruction.

4. Social Studies

Similar to Science in documentation style. History read-alouds with a reading log noting titles, dates, and topics; geography activities; unit study materials; current events discussion logs — all work. Some parents keep a simple topic log: "October 3 — American Revolution causes and timeline; October 7 — Colonial life, read chapter 4 of [textbook]."

5. Art

Art is where many parents stumble. The key is dated evidence. Specific options:

  • Photographs of completed art projects with the date visible in the file name or written on the back of a print
  • Preserved artwork (drawings, paintings, crafts) with the date written on the back
  • An art activity log noting date, medium, and what was made or studied
  • Receipts or enrollment records for an art class

Calvert County and PGCPS both explicitly accept photographs of participation. A simple photo log — date + brief description — satisfies the requirement. What doesn't work: a pile of undated projects that could have been made anytime.

6. Music

Documentation options for Music:

  • Music lesson attendance logs or receipts from a private instructor
  • Practice logs (date + instrument + minutes practiced)
  • Concert programs or recital participation records
  • Enrollment records for school band, choir, or community music programs
  • A dated listening journal if your music education is primarily appreciative

Even informal music education — listening to and discussing classical music, learning to identify instruments, singing together — counts, but you need a dated record that it happened. A weekly music log takes about 60 seconds to maintain.

7. Health

Health is under-documented in most portfolios because parents don't realize how much they cover informally. Topics that qualify:

  • Nutrition and healthy eating discussions
  • Personal hygiene and body safety
  • First aid concepts
  • Mental health and emotional wellbeing
  • Puberty education (age-appropriate)
  • Safety and injury prevention
  • Disease prevention

A topic log works well here: a simple list of health topics covered with dates. Some parents use a purchased health workbook and keep the completed pages. Others document health discussions alongside their science curriculum if they use a combined approach. What reviewers need to see is that the subject was addressed across the semester, not just in one week.

8. Physical Education

PE documentation is the second most commonly cited source of deficiency notices, after the non-core subjects in general. What works:

  • A dated activity log: "March 3 — 30 min bike ride; March 5 — 45 min swimming; March 7 — neighborhood walk, 40 min"
  • Sports league enrollment records (soccer, baseball, gymnastics, martial arts)
  • Gym or pool membership receipts showing regular use
  • Park day attendance at a homeschool co-op with physical activities

The bar is "regular" physical education, not competitive athletics. A log showing physical activity three to four times per week is more than sufficient for most Maryland counties.

Organizing Your Portfolio Binder

The binder format is the most common and most reviewer-friendly way to organize a Maryland portfolio. Here is a structure that works:

Front section:

  • Student name, grade level, academic year, parent-teacher name
  • Curriculum or materials list
  • Attendance log or calendar
  • Work sample index (optional but useful — a one-page list mapping each artifact to its subject and date)

Eight tabbed subject sections, in the order COMAR lists them:

  1. English
  2. Mathematics
  3. Science
  4. Social Studies
  5. Art
  6. Music
  7. Health
  8. Physical Education

Within each tab, organize artifacts chronologically — earliest at the front, most recent at the back. Reviewers expect to page through a subject section and see the arc of the semester.

Back section:

  • Any additional correspondence with your county (letters, review notices, past deficiency responses if applicable)
  • Notification form copy

Three-ring binders with colored plastic tab dividers are inexpensive and familiar to reviewers. Keeping all materials in page protectors prevents wear and makes the binder easier to page through. One binder per semester works for most elementary students; high schoolers often need a binder per year.

Why Fillable PDF Portfolios Are Now the Practical Standard

Maryland's portfolio review landscape shifted significantly after 2020. Many counties moved to virtual or hybrid review options that they've largely retained. Calvert County's published guidelines explicitly state that digital submissions must be in PDF, JPEG, or Microsoft Office formats — cloud links and informal screenshots are rejected.

A fillable PDF portfolio solves several problems that printed binders create:

Digital submission without scanning. If you're filing your portfolio digitally to a county reviewer via email, a fillable PDF means you type directly into the document. You don't need to print, complete by hand, scan, and email. The typed entries look professional and are easy to read.

Persistent records across years. Digital files don't deteriorate or get lost in a house move. A completed fillable PDF for each semester is a permanent, searchable record that's easy to back up.

Easier updates and corrections. If a reviewer asks you to add something or clarify a section, editing a fillable PDF takes minutes rather than requiring a physical reprint and replacement.

Consistent formatting across subjects. A well-designed fillable portfolio ensures that every subject section has the same professional appearance — important when a reviewer is comparing the quality of your documentation across eight subjects.

The practical limitation of most downloadable PDF portfolios is that they were designed for printing. They lack the fillable fields, the logical tab structure, and the Maryland-specific subject logs (especially for non-core subjects) that make digital submission actually work.

The Work Sample Selection Strategy

Regardless of whether you use a binder or digital portfolio, the selection of which work samples to include is where the portfolio becomes either a strong compliance record or a vulnerability.

Spread across the semester. Reviewers are looking for evidence of instruction throughout the academic term, not concentrated in a few weeks. Your samples should span the full period under review.

Show variety within subjects. Multiple reading logs and no writing samples is weaker than one log plus one piece of writing. For Science, a mix of a completed worksheet and a project observation record is stronger than five worksheets.

Include the hard subjects visibly. Don't bury your Art, Music, Health, and PE documentation at the back of the binder or in a thin section. These are the subjects reviewers look for specifically, because they're the ones most commonly absent. Give them full, organized sections.

Date everything. This cannot be overstated. Every work sample, every photograph, every log entry needs a date. "Undated work sample" is a note reviewers make that triggers scrutiny of the rest of the portfolio.

A well-curated portfolio with 25 to 35 total samples across all eight subjects and both semesters is almost always sufficient for an Option 1 Maryland county review. The work isn't in collecting more — it's in collecting the right things and organizing them clearly from the start.
